Exporting from India requires a set of documents for customs, carriers, and your buyer. Missing or incorrect paperwork can delay shipments, attract penalties, or block clearance at destination. Use this checklist to stay on top of the basics.
Commercial invoice
Details the seller, buyer, goods (description, quantity, unit price, total value), Incoterm, and payment terms. Must match the actual shipment and is used for customs valuation and clearance in the importing country.
Packing list
Lists packages, weights, dimensions, and contents. Helps carriers and customs verify the consignment and is often required alongside the commercial invoice.
Shipping bill (India)
Key export document filed with Indian customs. Declares the goods, value, and destination. Your freight forwarder or customs agent typically files this electronically (e.g. through ICEGATE) and obtains the Let Export Order (LEO) for shipment.
Bill of lading (sea) or air waybill (air)
Evidence of the contract of carriage. The B/L or AWB is issued by the carrier (or forwarder) and is needed for the consignee to take delivery. Ensure consignee and notify party details are correct.
Certificate of origin (if required)
Required by many countries or under trade agreements (e.g. GSP, FTA) for preferential duty treatment. Issued by authorised bodies (e.g. chambers of commerce) or as self-certification where allowed.
Other documents
Depending on the product and destination: insurance certificate, phytosanitary or health certificates, test reports, or licences. Your forwarder can advise what’s needed for your specific shipment.
Why use a forwarder
Preparing and filing export documents is time-consuming and regulation-heavy. A freight forwarder like Globe Hauler handles shipping bills, B/L or AWB, and coordination with customs and carriers so you can focus on your business. We’ll tell you exactly what to provide and when.
